Practical invoice guide

Customize & Reuse an Invoice Template

Use a preset as a starting point, then add your identity and adjust the available style controls. Save the right format for the next step: PDF for the document, JSON for an editable project and CSV for item data.

Choose a preset or the Customized option

The gallery offers 18 presets and a Customized option. Presets use six underlying design families with different styling and, in four cases, document types. Customized opens the style controls for the current document. It does not load a nineteenth independent layout or delete the items you have entered.

Create an invoice template with your logo

Add your own logo through the logo controls and review its size and position. Select invoice elements to edit available properties, or double-click editable text in the preview. Keep the business name, invoice number and total easy to find. A logo that looks sharp at a small size is more useful than a very large file that slows the document down.

Adjust colors and fonts for readability

Choose colors with a clear contrast against the page. Keep item descriptions and totals readable at the final print size, especially if your customer will print in grayscale. After changing styles, check long names, addresses and multi-line descriptions. Use the preview and open the exported PDF rather than judging only a small gallery thumbnail.

PDF, JSON project or CSV?

FormatUse it forWhat to know
PDFSending or printing the invoiceThe prepared document export
JSON projectReopening an editable LyfPDF setupKeep it with your own project records
CSVImporting or exporting item rowsItem data, not a complete invoice layout

The tool does not export a native Word or Excel invoice template. A CSV file may open in a spreadsheet application, but that does not make it an Excel invoice design.

Save a project and reopen it

Use Save project to download the current editable setup. Use the Save / Load controls to reopen a supported project file. Browser autosave is convenient on the same device, but browser storage may be cleared or unavailable. Keep a project download when you need a portable copy.

Update details before reusing an invoice

Review the customer, invoice number, dates, document type, line items, currency, tax settings and amount paid. Reusing the old design does not mean the old transaction details are still correct. This is a manual workflow; no invoices are scheduled or emailed automatically.

Check what a share link includes

A share link holds encoded document details in its URL fragment. Someone with the link can open an editable copy; it is not an encrypted private-storage service. Uploaded logos, signature images and other uploaded image objects are omitted. Use a saved project for continuing your own work and review a PDF when you need to send the finished document.

Frequently asked questions

Can I change the design without losing my items?

The current style controls keep the entered invoice data. Check the document type when selecting a Receipt, Quotation, Proforma Invoice or Credit Note preset, because those choices also change the type.

Is browser autosave a permanent backup?

No. Browser storage can be cleared or blocked. Download a project file if you need a portable copy to reopen later.
