PDF metadata can disclose a person, application, project name or workflow date even when the visible pages look clean. Review document properties before public or external distribution.
Know what metadata contains
Common fields include Title, Author, Subject, Keywords, Creator, Producer, creation date and modification date. These values can help manage documents internally, but they may reveal employee names, software versions or confidential project labels. A filename, visible footer, comment or embedded attachment is not the same as metadata and needs a separate review.
Use a copy, not the only original
- Keep the source PDF unchanged.
- Open a duplicate in the LyfPDF Metadata Editor.
- Review every displayed property and clear only fields that should not travel with the file.
- Save the cleaned copy under a new filename.
- Reopen that copy in another reader and inspect Document Properties again.
Check visible and hidden content separately
Clearing properties does not remove names printed on a page, comments, annotations, layers, attachments, form values or text hidden behind a shape. Search the document for sensitive terms, review all pages and inspect attachments in a full PDF reader when those features matter. For sensitive text on a page, use an appropriate redaction workflow and verify the exported copy.
Preserve useful metadata when required
Accessibility, records management, publishing and legal workflows may require an accurate title, language, author or creation history. Privacy is not always equivalent to blank metadata. Follow the receiving organization’s specification and remove only information that is unnecessary or disallowed.
A practical release check
Before sharing, compare the cleaned copy with the source, confirm page count and readability, inspect properties, search for sensitive names, and confirm the filename. Send only the reviewed copy through the approved channel. Do not email confidential documents merely to test a cleanup.
