Prepare a release copy

Confirm the recipient and channel

Resolve similarly named recipients before attaching the file. Use the approved portal, encrypted service or access-controlled workspace for the document class. A password-protected attachment is not helpful if the password is sent to the wrong person or through the same compromised channel.

Limit access after sending

When the platform supports it, set the shortest practical access period, prevent unnecessary forwarding and remove obsolete shares. Record who approved the release when policy requires it. Local PDF processing helps before the send; it cannot control copies after a recipient downloads them.

Final two-minute check

  1. Open the exact file attached or uploaded.
  2. Read the recipient list aloud or against the request.
  3. Confirm the message does not contain hidden quoted content.
