A black or white rectangle can make text invisible without removing the underlying information. Safe redaction is a process: identify sensitive material, use the approved removal method, export a copy and test what remains.

List every sensitive element first

Review names, account numbers, addresses, signatures, barcodes, QR codes, photographs, headers, footers and repeated identifiers. Searchable text helps, but scanned pages require visual review. Check all pages and attachments; a repeated footer can be missed when attention stays on the main paragraph.

Choose the correct method

For low-risk visual sharing, a flattened cover may be adequate only when the receiving process accepts it. When replacing a name or number, verify font size, alignment and context, but do not let appearance substitute for removal. Comments, OCR text and form values can survive behind a flattened-looking page. If the document must remain searchable, use a professional workflow that explicitly removes the selected content while preserving permitted text.

Use two-person review for high risk

A second reviewer should compare the release copy against a redaction list without viewing more confidential data than necessary. Record the final filename, page count and approval. This catches missed repeated elements and prevents the unredacted source from being attached by mistake.
